Privacy Policy

1. The short version

Keelbook ([address placeholder]) helps marine service businesses run their work and gives boat owners a permanent maintenance record. We collect the information needed to do that, we don't sell personal information, and boat owners can always see and export their own vessel's record for free.

2. Information we collect

From service pros: name, email, phone, business details, and the content you create — jobs, estimates, invoices, photos, customer contact information, and vessel service history.

From boat owners: name, email, phone, and details about your vessel (make, model, hull ID, engine hours, service history) — usually entered by the service pro who works on your boat.

Automatically: device and usage information (pages viewed, actions taken, IP address, browser type) collected through cookies and our analytics provider, used to understand and improve the product.

Payments: card and bank details go directly to Stripe, our payment processor. Keelbook never sees or stores full card numbers or bank credentials.

3. How we use it

• Run the service: scheduling, estimates, invoices, payments, and vessel records.
• Send transactional messages — invoices, estimate approvals, maintenance reminders — by text (via Twilio) and email (via Resend).
• Maintain each vessel's service history, visible to the owner and to service businesses the owner authorizes.
• Improve the product with aggregated analytics, and keep it secure with error monitoring.
• Comply with legal obligations, such as tax and payment regulations.

We do not sell your personal information, and we don't use your data to advertise to third parties.

4. Who sees vessel records

A vessel's service record is shared between the boat's owner and the service businesses the owner has authorized to work on it. When a boat is sold and the record is transferred, the new owner sees the vessel's service history; personal details of the prior owner (contact information, invoices, payment amounts) are not shared with the new owner.

5. Who we share information with

• Service providers that run parts of Keelbook under contract: Stripe (payments), Twilio (text messages), Resend (email), Supabase (hosting and database), Vercel (hosting), PostHog (analytics), and Sentry (error monitoring).
• People you choose to share with — e.g., a marina you share a compliance document with, or another service business a boat owner authorizes.
• Legal reasons — when required by law, or to protect the rights, safety, or property of Keelbook or others.
• Business transfers — if Keelbook is acquired or merges, your information may transfer with the business; the free-forever owner record promise transfers with it.

6. Text messaging

We send texts only for the service — invoices, approvals, reminders, and record links. Reply STOP to any Keelbook text to opt out; reply HELP for help. Message and data rates may apply. We don't send marketing texts without separate consent, and we don't share phone numbers with third parties for their own marketing.

7. Your data, exportable forever

Boat owners can view their vessel's record for free and export it — as PDF and CSV — at any time, forever. This works even if the service pro who created the record stops using Keelbook. Service businesses can export their business data (customers, jobs, invoices) from their account, including for 90 days after closing it.

8. Your choices and rights

• Access, correct, or export your information from your account, or by emailing us.
• Ask us to delete your personal information. Note that vessel service history is designed to be a permanent record: we'll remove your personal identifiers, but factual service entries (what work was done on which boat, when) may remain associated with the vessel.
• Opt out of texts (reply STOP) and non-essential emails (unsubscribe link).
• Depending on where you live (for example, California or Washington), you may have additional rights under state privacy law. Email us to exercise them; we won't discriminate against you for doing so.

9. Security and retention

Data is encrypted in transit and at rest, access is restricted by row-level security, and sensitive actions are audit-logged. No system is perfectly secure, so if a breach affects your personal information we'll notify you as required by law. We keep information as long as needed to provide the service and meet legal obligations; vessel service records are retained indefinitely by design.

10. Children

Keelbook is a business tool and isn't directed at children under 13. We don't knowingly collect their information; if you believe a child has provided us personal information, contact us and we'll delete it.

11. Changes to this policy

We may update this policy as the product evolves. If a change is material, we'll notify you by email or in the app before it takes effect, and we'll always show the date of the latest version at the top of this page.
